FinBot: month end, reports and your accountant

Once a month, in this order (Compliance only appears in the Accountant view — switch at the bottom of the workspace list):

  1. Documents — nothing left under Needs your eye or Ready for the books for the month.
  2. Bank — import the month's statement and clear Waiting for you to agree and Still to be dealt with. Bank > The proof shows the bank balance and the books balance side by side, with every difference named.
  3. Reports > Ledger > Books check — your unpaid invoices must add up to Accounts Receivable and your unpaid bills to Accounts Payable. "Agrees" on both sides is what you want; any difference is listed entry by entry (for example a supplier payment that was not made against a bill).
  4. Compliance > Deadlines & closing > Close a finished month > pick the month > Check & close. It lists anything still stopping the close. When you or your accountant have checked the month, press Sign off as reviewed (with a note if you like) — it records who, when, and what the books check said at that moment.
  5. Close the month. A closed month is locked: nothing can be posted into it afterwards, so corrections go in the next open month.

Reports (Reports & Downloads): Profit & loss, Balance sheet, GST (the F5 boxes as a draft), Cash flow, Ledger (trial balance, journals, general ledger) and Starting figures. Pick the period at the top; Compare to previous adds last period beside it. P&L as PDF and Balance sheet as PDF download the statements.

For your accountant: Reports > Ledger has downloads for Journals, Trial balance, Ledger, Unpaid invoices and Unpaid bills as CSV for the period you picked. Handing your books to your accountant needs no special permission.

GST: Reports > GST shows Supplies (Box 1), Output tax (Box 6), Input tax (Box 7) and Net GST (Box 8) for the period. It is a draft to check against your tax invoices — FinBot does not file with IRAS for you.

Tax and ACRA (Compliance > Tax and Filing) need the business type set first. Adtro prepares the figures; you or your directors remain responsible for what is filed.
