Rewards, wallets & vouchers

Published and maintained by Adtro Media

Customers > Rewards runs loyalty, in four tabs:

  • Rewards — the catalogue: a percentage off, a dollar amount off, a free item (pick the product), or a manual reward (a physical gift staff hand over). Each can have a minimum spend, a stock limit and an expiry.
  • Automatic rewards — rules that hand a reward over on their own: stamp card, spend & save, visit milestone, first-timer and birthday.
  • Points programme — the earn rate (e.g. 1 point per $1), what points can be swapped for, and tiers with member discounts applied at checkout.
  • Wallets & vouchers — every customer's points AND the vouchers they are holding, on one row.

Redeeming a voucher at the counter:

  1. Open Wallets & vouchers and search the customer's name or phone — or type the voucher code they show you (VCH-…) and press Enter.
  2. Their vouchers show as tickets with the value, expiry, minimum spend and where they can be used. Tap Redeem.
  3. A pop-up asks you to confirm. It repeats what the customer gets, warns about any minimum spend, and — if the voucher is limited to some outlets — asks which outlet you are at. Confirming uses the voucher up; it can't be used again.

Holding vouchers filters the list to customers with something to redeem. Manage on a row opens points adjustments (±10, a custom amount, Gift points with a message), the wallet link, prepaid packages, wholesale discount and their past rewards. Manual rewards customers have claimed wait at the top under "Waiting to be handed over" until staff mark them handed over; cancelling one gives the points back. The full log is in Redemption history at the bottom.

Limiting where a reward works:

  • Where it appears (storefronts): with more than one storefront, tick the storefronts a reward shows on. Tick nothing and it shows on every storefront.
  • Outlets that accept this voucher: with more than one outlet, tick the outlets where the voucher may be USED. Tick nothing and it works at every outlet. Storefront checkout, the POS and the counter all refuse it anywhere else, and customers see where it is valid. A voucher keeps the outlets it was issued with, even if you edit the reward later.

Selling vouchers for money ("$10 off, yours for $8"):

  1. In Rewards, create a reward and choose "Sell for money" under How customers get it. Set the voucher (e.g. $10 off, a percentage, or a free item), the selling price, how many days it stays valid after purchase, and optionally a limit per customer and how many are available.
  2. Staff sell it at the counter: POS > Sell voucher, pick the voucher, enter the customer's mobile, choose cash, card or PayNow. It lands in that number's wallet at once.
  3. Customers buy it on the storefront: the home page shows "Buy vouchers", and the Vouchers page takes the store's usual payment (card, PayNow proof, or pay at the counter). They must be signed in — WhatsApp, Instagram, Facebook or Telegram — so the voucher has a wallet to go into.

Rules: vouchers are bought on their own, never together with food, so they carry no GST, service charge or delivery, and points and other vouchers can't be used on them. Buying one earns no points. A voucher purchase can be cancelled (Orders > cancel the order) only while none of its vouchers has been used; the unused ones leave the wallet.

In the books the money is prepaid, not sales: it sits in "Unused Vouchers Sold" until the voucher is used (then it becomes sales, with GST if you're registered) or expires unused (then it becomes sales, with no GST).

Vouchers only ever work for the business that issued them.

One wallet, many shelves: a customer's points balance, tier and prepaid credit are the same at every Location and every storefront. Customers see their loyalty card and vouchers in their storefront profile ("My loyalty card"). To adjust someone in words, ask the Marketing assistant to prepare it for confirmation.

Faster: iBot inside your dashboard can walk you through this — or do it for you. Open Assistants and just ask.
