Staff, hours, leave and pay runs

The staff work lives in the HR assistant: Assistants > HR. It is seven workspaces.

  • Today — what is owed, what is due and what is already late, in the order it has to happen: hours before the run, leave decisions before the run, the run before the payslips. Each step opens the screen that clears it. Start here.
  • People — everyone on the payroll, each with a profile: what they are paid, what leave they have, their documents and letters. Also the Key Employment Terms you owe them in writing, and who can read their own payslip without asking you. Joining and leaving both start here.
  • Hours — the roster is what you asked for, the timesheet is what happened. Filling the hours copies the roster across; check it before you post, because the two differ every time somebody calls in sick.
  • Leave — every balance carries the rule that produced it, and nothing comes off a balance until a request is approved. A leave year runs from each person's own start date, not the calendar.
  • Pay — what the month costs, posting it, issuing payslips and getting the money out of the bank. CPF, the skills levy and the foreign worker levy are computed against the rates in force, never typed in. Posting writes the journal and produces the payslips.
  • Requests — everything your staff have asked you for, in one queue, in the order they asked.
  • Compliance — CPF, SDL, IR8A, KET coverage and the records you must be able to produce.

Pay and Compliance are owner-only: a manager enters hours and approves leave without seeing what anyone earns.

Changing staff records needs payroll permission, which is stricter than being allowed to use the assistant — if the buttons are there but do nothing for you, that is the permission (Settings > Team).

Ask the HR assistant in words: "who is on this week?", "how much leave does Siti have left?", "run payroll for March", "add a new employee starting Monday" — each change comes back as a card somebody confirms.

Never type an NRIC or FIN into a chat. It is entered on the employee's own screen; Singapore employers must remove NRIC from authentication entirely by 31 December 2026.

Posting a pay run writes the journal straight into FinBot's ledger, where it shows in the profit and loss and the trial balance — one set of records, asked two different questions. There is no staff screen inside FinBot any more; if your plan does not include HRBot, upload a payroll summary in FinBot's Documents workspace and post it as a staff cost instead.
